The automatic roster covers the ordinary month. The copilot is for the sentence above — the situation that no rule anticipated and that a manager would otherwise solve with six phone calls.

Three stages

Describe it, get proposals, and only see the lawful ones.

The legal check runs after the language model and before the screen, so an unlawful proposal never reaches the manager.

    Describe the situation

    Type what happened as free text. The system extracts the date, shift type, ward and constraints and summarises the request for review.

    Get proposals with reasons

    The copilot finds suitable people from the team using working-time accounts, qualifications and availability, and explains why it picked each one.

    Every proposal is checked first

    Before anything appears it is checked against §§ 3 and 5 of the German Working Hours Act, the collective agreement, qualified-staff ratios and existing absences.

Why the check sits after the model, not inside it

A language model can be asked to respect the rest period, and most of the time it will. “Most of the time” is not a standard anyone can put in front of a works council. So the model never has the last word here: whatever it proposes is handed to ordinary, deterministic code that checks §§ 3 and 5 of the German Working Hours Act, the collective agreement, weekly hour limits, the qualified-staff ratio and existing absences.

Anything that fails that check is dropped before it reaches the screen. The manager never sees an unlawful option, and therefore never has to be the one who catches it.

The same logic governs what leaves the building. The request describes shifts, qualifications and constraints — not the people. Which model is called and what is sent to it is documented in full on the AI transparency page (German), as Article 50 of the EU AI Act requires.

Questions about the copilot

Which model is used, and what is sent to it?

One path calls an external language model: the roster optimisation and the monthly analysis. Which model that is, and what is sent, is documented on the German AI-transparency page under Article 50 of the EU AI Act. Names are not sent; the request describes shifts, qualifications and constraints.

Can the copilot assign someone to a shift by itself?

No. It proposes. Someone with the authority to do so has to approve it, and until then nothing in the roster changes.

What if the model proposes something unlawful?

It is never displayed. The check against §§ 3 and 5 of the Working Hours Act, the collective agreement, weekly hour limits and qualified-staff ratios runs after the model and before the screen — it is ordinary code, not a second prompt.

Is the copilot live?

The command bar inside the roster is built and can be used in the demo. We will switch it on in production once the classification under the EU AI Act is published. That sequence is a commitment we made on our own transparency page, so we keep to it.
